Notifications for blue card approvals

We notify organisations when a blue or exemption card is approved only when the individual is linked to an organisation.

Under the Working with Children (Risk Management and Screening) Act 2000 (the Act) regulated organisations must ensure they link blue and exemption applicants and card holders to their organisation before they start working or volunteering.

Linking means organisations are notified electronically when a blue or exemption card is approved:

• Online organisations using the Organisation Portal can view via the notices tab.
• Offline organisations will receive an email to the email address initially provided to us.

The organisation’s nominated representative will receive other sensitive or confidential information by post, such as if a blue or exemption card is denied and a negative notice is issued, or if a card is suspended or cancelled. The nominated representative contact information is visible via the Organisation Portal.

Offline organisations

Organisations not using the Organisation Portal will receive a spreadsheet by email whenever a blue or exemption card has been approved or renewed. This spreadsheet will contain a complete list of the cards issued for applicants linked to your organisation.

While notifications will be received via email we recommend organisations use a generic email address (e.g. bluecardadmin@organisation.com.au) rather than having them sent to a particular team member's email account.

When you have a generic email address, you can provide specific team members access so notifications won’t be missed.

Recordkeeping

When you get notifications from us, please update your employee register or similar record to ensure your blue or exemption card details are up to date and you comply with the Act.

1. Ensure we have your organisations correct email and contact details.
2. Use a generic email address for receiving notifications.
3. Update your organisation’s details.
4. Review your organisation’s internal processes around handling notifications from us.
